Please note: this is a pre-check based on WhatsApp's published template rules. Final approval is decided by WhatsApp/Meta review — a passing score here improves your odds but does not guarantee acceptance.

A WhatsApp template is a pre-written message format businesses must use to message customers outside WhatsApp's 24-hour customer-service window. Every template must be reviewed and approved by WhatsApp (Meta) before sending — this blocks spam, protects users, and keeps business messaging trustworthy. Rule-breaking templates are rejected and cannot be used.

Use the free checker above to validate your draft before submitting — or read on for the full guide.

Why does WhatsApp require template approval?

Unlike email or SMS, WhatsApp is a permission-based channel. A business can reply freely once a customer messages first, but only inside a 24-hour window. Anything sent after that window closes — or any first message a business sends on its own — must use an approved template.

The approval process serves three purposes. First, it stops spam: reviewers check that each message is legitimate, non-deceptive, and correctly categorized. Second, it protects the user experience — people chose WhatsApp as a personal messaging app, not a junk inbox. Third, it protects your business: accounts sending low-quality templates get their quality rating downgraded, limiting how many conversations they can start per day. Passing review on the first try saves days of back-and-forth.

What are the WhatsApp template categories?

Every template belongs to one of three categories. Choosing the wrong one is one of the most common reasons templates get rejected, so get this right first.

    CategoryWhat it is forExample
MarketingPromotions, offers, product announcements, re-engagement and upsells"Hi {{1}}, our winter sale is live — 20% off everything this weekend. Shop now: {{2}}"
UtilityTransactional updates: order confirmations, delivery alerts, appointment reminders, payment receipts, account notifications"Hi {{1}}, your order {{2}} has shipped and arrives on {{3}}."
AuthenticationOne-time passcodes for login, registration, or verification"Your {{1}} verification code is {{2}}. It expires in 10 minutes."

Rule of thumb: if the message tries to sell anything, it is Marketing — even inside an otherwise transactional message. A delivery update ending with "check out our new collection" will be rejected as Utility. Authentication templates are the strictest: the code plus minimal instructions only, no promotions, no URLs.

What does a WhatsApp template look like? Template anatomy and limits

A template has up to four components. Only the body is mandatory, but most real-world templates use at least a body plus buttons.

    ComponentRequired?Limits and rules
HeaderOptionalText up to 60 chars — or media (image, video, document) or location. Text headers may include one variable.
BodyYesUp to 1024 characters. Supports {{1}} variables, emojis, basic formatting.
FooterOptionalUp to 60 characters of plain text. Variables are not allowed in the footer.
ButtonsOptionalQuick-reply buttons, call-to-action URL buttons, phone-number buttons, or copy-code buttons.

Memorize the two numbers that cause the most rejections: 1024 for the body and 60 for the header and footer. Anything over those limits fails review automatically.

How do template variables ({{1}}) work?

Variables — also called parameters — are the placeholders that get filled in when you send the message, like a customer's name or an order number. They follow strict formatting rules:

    • Always numbered: use {{1}}, {{2}}, {{3}} — never named placeholders like {{name}}.
    • Start at {{1}}: {{0}} does not exist and will fail validation.
    • Stay sequential: {{1}}, {{2}}, {{3}} with no gaps. Skipping from {{1}} to {{3}} is a rejection.
    • One variable can repeat: using {{1}} twice in the same body is fine.
    • Provide samples: when submitting, include a realistic example value for every variable (e.g. {{1}} → "Sara").
    • Keep the count reasonable: there is no published hard maximum, but templates with more than about 10 variables are harder to read and more likely to be rejected.

At send time, values fill placeholders by position: the first value fills {{1}}, the second fills {{2}}, and so on.

Why do WhatsApp templates get rejected? Top reasons and fixes

Most rejections come from a short list of repeatable mistakes:

    Rejection reasonHow to fix it
Wrong category selectedPromotional content is always Marketing, even inside a transactional message.
Marketing content in a Utility or Authentication templateRemove offers, upsells, URLs. Authentication templates carry only the code and minimal instructions.
Shortened or disguised URLsUse full, branded URLs. Link shorteners hide the destination and are not allowed.
Broken variable formattingUse {{1}}, {{2}}, {{3}} — sequential, starting at 1, with matched double brackets.
Missing or unrealistic sample parametersGive a believable example for every variable at submission.
Spelling, grammar, or formatting errorsProofread. Sloppy copy signals low quality to reviewers.
Policy-violating contentRemove prohibited goods, deceptive claims, or restricted-industry content; check Meta's policy docs.
Excessive caps, emojis, or spammy phrasingTone it down — write like a business, not a banner ad.

For the official rules behind these checks, see Meta's message template documentation.

How do you submit a WhatsApp template for approval?

The exact screens differ between providers, but the underlying process is the same everywhere:

    1. Draft the template — body (max 1024 characters), optional header/footer (max 60 each), and any buttons.
    2. Choose the correct category — Marketing, Utility, or Authentication — using the content rules above.
    3. Add sample values for every {{1}}, {{2}}, … variable so reviewers see the finished message.
    4. Submit for review through WhatsApp Manager or your provider's template section.
    5. Wait for the decision. Reviews often complete within 24 hours, but timing varies — submit early if a campaign depends on it.
    6. If rejected, read the reason, fix that specific issue, and resubmit. Never resubmit the identical template unchanged.

Running the template checker before step 4 catches the mechanical errors — length, variables, category mismatch — that cause most first-round rejections.

    WhatsApp template pre-submit checklist

    • ☐ Body is 1024 characters or fewer
    • ☐ Header and footer (if used) are 60 characters or fewer, with no variables in the footer
    • ☐ Variables are numbered {{1}}, {{2}}, {{3}}…, sequential, starting at 1
    • ☐ Every variable has a realistic sample value
    • ☐ Category matches the content (promotional = Marketing)
    • ☐ No URL shorteners — full branded links only
    • ☐ No placeholder text like "Lorem ipsum" left in the copy
    • ☐ Marketing templates include opt-out guidance (e.g. "Reply STOP to unsubscribe")
    • ☐ Copy is proofread — no typos, no excessive caps or emojis

    Frequently asked questions

What is a WhatsApp message template?

A pre-approved message format businesses use to start conversations or send notifications outside the 24-hour customer service window. It combines fixed text with variables like {{1}} for personalization, and must pass Meta's review before sending.

How long does WhatsApp template approval take?

Reviews often complete within 24 hours, but timing varies with review volume and template complexity. If a campaign depends on a new template, submit several days early and keep a backup approved template ready.

Can I edit a template after it is approved?

No — approved templates are locked. Any change to the text, variables, or category requires a new submission and review, so finalize your copy first.

How many variables can a WhatsApp template have?

Meta does not publish a strict maximum, but each variable must be numbered sequentially starting at {{1}}. In practice, templates with more than about 10 variables are harder to read and more likely to be rejected — keep parameter lists lean.

Do I need an approved template to reply inside the 24-hour window?

No. Once a customer messages you, you can reply with free-form messages for 24 hours. Templates are only required for business-initiated messages and for messages sent after the window closes.

Why was my template rejected for the wrong category?

Usually promotional content inside a Utility or Authentication template. Any offer, upsell, or marketing URL makes WhatsApp classify the message as Marketing. Remove the promotional content or resubmit under the Marketing category.
